Payment records and order status

Find payment details on a response and distinguish payment progress from preparation and fulfillment.

Use the order or response record to keep the request, amount, and payment information together. Check the payment details before treating an order as paid.

Find the record

  1. Open the relevant form and choose Responses, or open the order from the dashboard's Inbox.
  2. Find the customer or order number and open the submission.
  3. Review Payment Details when payment information is present.
  4. Compare the amount, payment method, and recorded state with the transaction you are checking.

Track two different questions

QuestionRecord to review
Has money been received or authorized?Payment details and the provider's transaction record
Is the order prepared, ready, or delivered? The order's fulfillment status
Did the customer submit the requested details? The saved response

Moving an order to a completed board column is not a payment transaction. Similarly, a successful payment does not establish that the kitchen has prepared the order.

Manual payments and corrections

For a manual route, check receipt in the payment provider before recording a paid state. Keep the reference that lets staff match the payment to the submission. Avoid recording a second payment merely because a customer submitted the form twice.

If an order is edited, compare the original payment with the revised amount. Handle additional collection or refunds through the supported provider process. A changed form total does not automatically settle a balance difference.

For a payment that seems missing, check payments and confirmations. For staff access, see collaboration.
