Track who has paid
Find payment details on an order, check manual payments, and keep payment separate from fulfillment.
Quick Answer
How do I see whether a Neartail order was paid?
Open the order from your form's Orders tab. On forms with payments, it shows the payment details. Check automated payments against your provider's dashboard, and manual payments against your bank or cash records. Moving an order on the board doesn't record a payment, and a payment doesn't move an order.
Paying and fulfilling are separate. An order can be paid but not yet made, or made but not yet paid, so check each one on its own.
| Question | Where to look |
|---|---|
| Has this customer paid? | The order's payment details, and your provider or bank |
| Is the order made and ready? | Its column on the Orders board |
| Did they submit what they wanted? | The saved order |
| What's still unpaid, across all orders? | A report |
Find the payment on an order
Open the order
In your form's Orders tab, open Kanban board and select the order, or find it through Inbox on the dashboard.
Check its payment details
Compare the amount and method with the transaction.
Confirm with your provider
Use your provider's own dashboard as the final word on automated payments. Reaching a checkout page doesn't mean the customer finished paying.
What we tested
We didn't take a real payment for these guides, so we haven't shown the payment details screen. Field names may differ from this description.
Check manual payments
Neartail can't see your bank account or your cash drawer, so you have to confirm these yourself.
- Match each payment to an order by its reference.
- Treat a customer's "I've paid" or a screenshot as a prompt to check, not as proof.
- Agree who on your team records payments, and how.
A custom status such as Paid can help on small operations. Just remember that one column can't show both payment and preparation at once.
When an order changes after payment
Editing an order changes the record, not the money. Neartail doesn't automatically refund the difference or collect more. Handle that through your provider, then tell the customer.
Before you ask for payment again
Check for an existing payment or a duplicate order first. Customers sometimes submit twice when a page seems slow.
