Confirmation emails
Email customers a confirmation of their order, and notify your team about new orders.
Quick Answer
How do I send order confirmation emails in Neartail?
Select the progress ring beside your form's name to open Form setup, then select the circle beside Email respondent when they submit the form. Select its pencil to choose the email question and write the subject and message. Keep ${response()} in the message, because it inserts the order details. Then place a test order.
There are two emails, and you set them up the same way.
| Goes to | Checklist step | |
|---|---|---|
| Email respondents | Your customer | Email respondent when they submit the form |
| Email collaborators | You and your staff | Email me when form is submitted |
Set up a customer confirmation
Open Form setup
In the editor, select the progress ring beside your form's name.
Turn on the email
Select the circle beside Email respondent when they submit the form. It turns green, and a default email is now on.
Select its pencil
Now choose who receives it.
Allow respondent to edit response & participate in workflow lets customers change their submitted order. Choose Next.
Write the subject
Type @ to insert an answer from the form. ${RESPONSEID()} inserts the order number.
Write the message
Add your own details around ${response()}, then choose Next to finish.
Place a test order with your own email
Open the email you receive and check the products, total, links, and instructions.
Replace the default signature
The default message is signed with the account owner's name and thanks people for their "response". Change both to fit your business before customers see it.
What to include
- Your business name and the order number.
- What they ordered and the total, which
${response()}covers. - The pickup date and place, or delivery details.
- How and when to pay, if it isn't already paid.
- How to reach you with changes.
Notify your team
Open an order, then under Additional Details select Email collaborators → Configure, or use the Email me when form is submitted pencil in Form setup.
Under Who should receive email notification?, enter addresses separated by commas, or choose Select field to take the address from a form answer. The rest of the setup is the same.
Allow collaborators to edit the form & response gives those recipients edit access, so turn it off for anyone who only needs the notification.
Reading the order screen
Each order shows its email status under Additional Details:
| It says | Meaning |
|---|---|
| No destination | No email was sent for this order |
| Configure | This email isn't set up yet |
Setting up an email only affects new orders. Earlier orders won't get one.
If an email doesn't arrive
Check the mapped email question, then the recipient's spam folder. Note that Share → Email is different: it sends your form's link, not an order confirmation. See Troubleshooting.
