Work with your team
Give staff access to a form's orders and reports, and agree how your team uses statuses.
Quick Answer
How do I give my staff access to Neartail orders?
Open the form's Share tab, select the ⋮ at the top right, and choose Add collaborators. Add the email address your staff member signs in with and choose their role. Sending someone the customer link only lets them place an order, so it doesn't give them access to your orders.
Add a collaborator
Open Share
In the form, open the Share tab.
Open more options
Select the ⋮ at the top right and choose Add collaborators.
Add the person
Enter the email they use to sign in, and choose a role.
Ask them to check
They should sign in with that account and open the form.
Choose a role
| Role | Can |
|---|---|
| Owner | Manage the form, orders, reports, and collaborators |
| Editor | Edit the form and work on orders and reports |
| Viewer | Read orders and reports |
Remember that an Editor can change your prices. Give someone Viewer if they only need to read the kitchen report.
Access is per form. A new weekly copy may need its collaborators added again, so check after you duplicate.
Access and notifications are separate
Being a collaborator doesn't mean someone gets emailed about new orders, and getting an email doesn't by itself mean they should have access. Set up team notifications separately.
Agree how you work
Decide these once, so everyone uses the board the same way:
| Decide | Example |
|---|---|
| What each stage means | Preparing means the kitchen has started |
| Who moves orders | The person who just finished that step |
| Where changes get noted | In the order's Comments |
| Which report is the kitchen's | Sales by product for the current week |
| Who records payments | The front-of-house lead |
Remove access
Review your collaborators when someone leaves or changes role. Don't put editor or dashboard links in anything customers can see.
